Choose one lead traveller
The lead keeps the passenger list, room plan and decisions in one place. They should not guess anyone鈥檚 legal name or date of birth.
Map the airports
List each traveller鈥檚 preferred airport and whether they can use a nearby alternative. Different flights may create different arrival times and transfer arrangements.
Agree the budget
Use a total budget or per-person ceiling, then state what it must include.

Build the rooming list
